GENERAL FUNCTION AND SCOPE OF RESPONSIBILITY
An employee in this class performs routine clerical work that follows prescribed or well-established procedures. Work may involve the operation of simple office machines, including a typewriter when such work is incidental and does not necessitate previous training, or the operation of more complex machines in a training capacity. Detailed instructions are given at the beginning of work and on subsequent new assignments. After becoming familiar with particular procedures, the employee normally works independently on the more routine aspects of the work. Assignments involving more difficult tasks are given closer supervision than those which are more routine.

An employee in this class performs routine work in entering alphanumeric coded or uncoded data into data entry devices to record data on punch cards, magnetic tape, or other recording media, or directly into the memory of a computer. Work primarily involves accurately entering a large amount of routine data as a member of a data entry production unit. Work may also involve some verification of the accuracy of previously processed work. Assignments are received in the format of written or typed material to be transcribed to cards, tapes, disks, or computer in accordance with predetermined format. Employee works under close supervision of a higher level data entry operator or supervisor.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES (Any one position may not include all of the duties listed nor do the listed examples include all tasks which may be found in positions of this class.)
Develop and maintain positive relationships with the public and fellow workers in order to advance department goals and minimize negative feedback.
Adhere to all laws, rules, and policies in order to demonstrate support of government and administrative systems and appropriate leadership qualities.
Sort and file correspondence and documents alphabetically, numerically, or by other established classifications; remove and return material from files; prepare file folders by subject, name, or other headings.
Receive visitors and direct them to proper offices; answer routine questions.
Receive, open, log, sort, time-stamp, and distribute mail; compute and maintain records of postage expenses; operate a postage meter machine.
Sort, collate, and assemble duplicated material in accordance with specific instructions or established procedures.
Address envelopes or other mailers following an established list; stuff envelopes and seal mail for outgoing delivery.
Provide messenger service for an agency, delivering messages, parcels, mail, and other similar items within a state facility or to various state agency locations.
Perform routine coding and checking functions according to established procedures; number and assist in checking individual claims, records and reports.
Answer telephone, relay calls, and/or take messages.
Make elementary arithmetic calculations following specific instructions.
Post a variety of routine information and data in connection with the maintenance of office records.
Operate a variety of simple office machines and equipment, such as photocopiers, decollators, detachers, book binders, and trimmers.
Examine precoded or simple uncoded documents and record pertinent data on punch cards, magnetic tape, disk, or other media by use of keyboard machine, such as a keypunch/verifier, key-to-tape, key-to-disk, or direct data entry device.
Occasionally verify cards, tapes, or computer records for correctness.
Receive training on different forms in order to improve performance and efficiency.
Perform other related work as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Some knowledge of modern office practices, procedures, and equipment.
Some knowledge of business English, spelling, and arithmetic.
Ability to learn modern office practices and procedures.
Ability to learn and develop skill in the operation of office equipment and machines.
Ability to understand and follow verbal and written directions.
Ability to learn assigned clerical tasks within a reasonable time and to adhere to prescribed routines.
Ability to learn and use coding and filing schemes.
Ability to check numbers and written material for accuracy.
Ability to make simple arithmetic computations and tabulations accurately and with reasonable speed.
Ability to establish and maintain harmonious working relationships with other employees and the public.
Some knowledge of the methods and equipment used in data entry for computer utilization.
Some knowledge of general office practices and procedures.
Skill in the operation of key entry device(s).
Visual skill and ability in reading handwritten or small printed words and numbers rapidly and accurately.
MINIMUM QUALIFICATIONS (The following entrance requirements are used to admit or reject applicants for merit system examinations, or may be used to evaluate applicants for employment in positions not requiring selection from merit system registers. When applicable, equivalent substitution will be allowed for deficiencies in experience or education.)
Graduation from high school. (One year of work experience will substitute for the first two years of high school; one year of work experience involving clerical duties will substitute for the last two years of high school.)
OR
Three months of data entry experience in the operation of keypunch, key tape, key disk, cathode ray terminal or other related equipment. (Training in data entry operation may be substituted for experience at the rate of 40 clock hours of formal classroom training for one month of experience.)
